What you’ll do:
Primary Function
Responsibilities will include a broad range of administrative and organizational tasks for Eaton’s Patent Law Department, in order to ensure that IP services provided meet the business needs. This role provides assistance to the Innovation Special Practice Group in the protection of the Company’s intellectual property rights related to multi-national activities and processes. The position also supports and improves the Law Function initiatives, processes, and tools.
The ideal candidate is an energetic critical thinker, analytical, skilled in driving process improvements who demonstrates the drive, business acumen, and people capability to deliver results within Eaton’s global Law Team.
The position will be located in Pune, India and will report administratively to the Manager – IP Administration, based in Pune.
ESSENTIAL FUNCTIONS
Providing wide-ranging administrative/paralegal services to the Law Department, including:
Responsible for managing the outside counsel docketing process, providing support, auditing, and acting as a liaison between outside counsel and the Eaton attorneys.
Coordinate and collaborate with attorneys, OCs (outside counsels) etc., for formalities & procedural matters by performing various administrative duties and tasks.
Ensure timely filing of patent applications. Prepare statistics, deadline and patent docket reports.
Responsible for training and communicating with outside counsel for IP matters, including questions around docketing, prosecution, using Anaqua and deadline reporting.
Query handling with OC’s and others on prosecution
Processing incoming emails in the patent mailbox, including renaming and uploading emails to the electronic document management system, docketing deadlines, opening workflows and updating the patent database with information such as status changes or filing particulars etc.
Docketing invention disclosures and preparing confirmation emails to inventors and other relevant parties
Creating new patent records, including PCT-, National Phase- and EPC validation records in the patent database.
Preparing patent filing reports to inventors and other relevant parties
Preparing reports on a regular or ad-hoc basis from the patent records database, including but not limited to deadline reports
Providing administrative support to update the IP database and other tools with information related to the restructuring of different businesses, currency exchange rates, internal and external contact information, review of IP invoices etc.
Supporting the team with correcting irregularities found in the patent database
Miscellaneous office clerical and administration duties
Qualifications:
The working language of the Law Department is English. A high level of spoken and written English is a must and any additional language skills would be an advantage.
The successful candidate must be a team player with strong communication skills. He or she must have the ability to develop and maintain effective working relationships with other team members in Pune and Law Department members located globally. The candidate must be highly motivated, capable of achieving goals, getting excellent results, and must adhere to the highest standards of business ethics.
Minimum Bachelor’s Degree with good academic records
3 to 7 years experience of working in the field of patents in a multinational environment, preferably with exposure to patent prosecution, IP Paralegal activities, IP portfolio management processes
Experience in working with IP management tools/ IP Docketing systems preferably Anaqua
a practical understanding of the patent systems around the world and a high degree of motivation to acquire this knowledge through internal training, online courses and on-the-job experience
Capable of handling emails, independent correspondence and managing files efficiently
Knowledge of WIPO, EPOline, IP databases and national registers would be an added advantage
Must be detail-oriented with an analytical personality, i.e. a strong ability to work with IT tools, IP databases and Microsoft applications in particular advanced levels of MS-Excel, and Power Bi.
Good command over the English language & good communication skills
